The courses I need to take do not appear on the course slction screen. What should I do?

Depending on your curriculum, a course may not appear in the system because it has been removed, its code has changed, it has not been opened, or it has been opened incompletely. In this case, contact your academic advisor. Do not complete course registration until the issue has been resolved.

The system indicates that the course quota is full, so I cannot slct the course. What should I do?

First, try slcting another elective course or another available course grp. If al quotas are full, contact your academic advisor.

I completed course registration and submitted it for advisor approval. Do I need to follow the approval process?

Yes. Make sure that your advisor has approved your registration. Course registrations without advisor approval are invalid, and you will not be able to attend courses or examinations. The student is fully responsible for following this process.

What should I do if I cannot reach my advisor and cannot obtain approval for my course registration?

You must first inform the head of your program or, if you cannot reach them, the Director of the Vocational School of Health Services, and ensure that advisor approval is completed within the period specified in the academic calendar. If you cannot reach any authorized person, you may report your system-related problem to Student Affairs by email using the relevant Student Affairs or Vocational School contact address. It is important to use your student email address.

What are the most important points I should consider during course registration?

You should pay attention to three important matters during course registration. First, review your curriculum status at the beginning of every semester so that missing courses do not delay your graduation. Second, complete registration within the period specified in the academic calendar. Third, ensure that advisor approval is completed.

What is a curriculum?

A curriculum consists of the courses that you are required to complete in your academic program. A student who has not taken, or has taken and failed, one or more courses in the curriculum cannot qualify for graduation.

What is a curriculum review, and when should I conduct one?

You can access curriculum information at https://ebp.nisantasi.edu.tr/. At the beginning of every registration period, you should compare the courses you have taken and successfully completed with the courses in your curriculum.

Is there anything I need to do after advisor approval is completed?

After advisor approval has been completed, check each course for which you have been registered. Your advisor may have removed one or more of the courses you submitted for approval.

Do I need to sign the class attendance sheet?

Yes. Sign the attendance or absence section of the class attendance sheet generated from the system and containing your name.

What should we do if our names are not on the class attendance sheet?

If your name is not on the list, there is a problem with your registration. Contact your academic advisor immediately.

Does my advisor have the right to change the courses for which I wish to register?

Yes.

Do I still have to register for a course if I am not required to attend it?

Yes.

What is course add/drp, and how should I complete this procedure?

Course add/drp is the process through which students remove one or more registered courses and register for one or more other courses. Students complete course add/drp procedures themselves within the specified dates. The add/drp period takes place on the dates stated in the Academic Calendar.

May I take the courses specified under Article 5(i)—Turkish Language, Foreign Language, and Atatürk’s Principles and History of the Turkish Revolution—through distance education?

Yes.

Advisor Stage

What information must I provide to the students I advise, and how can I provide it?

Transcript and curriculum reviews must be completed before the registration period begins. Students should be informed that they must complete course registration within the period specified in the academic calendar and that, after classes begin, they must contact their advisor if their names do not appear on the class attendance sheet. You can provide the necessary information to the students you advise by sending collective or individual messages through the student information management system.

May a student replace an elective course that they previously took and failed?

Yes. However, if the student does not specify during course slction which course they wish to take in place of the failed course, problems may arise in subsequent semesters.

May I require a student to appear in person before I grant advisor approval?

A student who completes course registration online through the student information management system can submit the registration for advisor approval through the system. There is no binding provision requiring the student to appear in person for advisor approval. The advisor may approve the submitted course registration or return it through the system.

Who is responsible if a student does not follow up and complete a course registration that I rejected and returned through the system?

Each student is responsible for completing course registration, submitting it for advisor approval, and following the process until the submitted registration becomes final after advisor approval. A student whose proposed course registration is returned by the advisor must revise it within the period specified in the academic calendar and obtain the advisor’s approval.

As an advisor, may I communicate with the student through the system?

Yes. You can send messages to the student through the OBİS system.

As an advisor, what can I do if the course the student wishes to take does not appear on the course registration screen?

The issue can be resolved by contacting the staff members within the Department of Student Affairs who are responsible for your academic unit. If you cannot reach them because of high demand,

you may contact the department administrators through the following address, which was created to provide technical support for the automation system to students and academic staff:ogrenci.isleri@nisantasi.edu.trReport the issue and provide your contact number. A solution will be prepared and you will be contacted.

What should I do if I receive a warning that the course quota is full?

First, try other course grps for which quotas have been defined. If al course-grp quotas are full, report the situation to the head of the department or program.

What should I consider during the course registration approval stage?

To qualify for graduation, a student must take and successfully complete al courses in the applicable curriculum. Therefore, it is important to review the curriculum and transcript during every registration period. The student must also first take courses from lower semesters that they previously failed or have never taken.

As an advisor, do I have the right to change a course for which the student wishes to register?

Yes. However, it is important to discuss the course change with the student.

Do I have to inform the student when I change a course for which the student wishes to register?

Yes. The student may see that the course registration has become final and may not check each course individualy. As a result, the student may fail to notice the course you changed and may attend a course they did not slct. Therefore, it is important to inform the student about any course changes.

When can I check together with the student whether the course registration submitted by the student and approved by me is correct?

You can review it during the add/drp week specified in the academic calendar and correct any errors.

How can I reopen a registration that I finalized but now wish to change?

You must submit a petition to the authorized staff member in your academic unit to have the finalized registration reopened.

Do I need to print and retain a system record after the registration procedure is completed?

There is no such requirement. However, to provide concrete evidence against occasional unfounded claims made by students, you may print the system record after approval or save a copy in a computer file.

Registration Suspension and Withdrawal

Is it possible to take a break from my studies for any reason by suspending my registration?

Yes. Students may suspend their registration by decision of the relevant administrative board if they can document significant reasons or if opportunities such as an external scholarship, internship, research activity, or similar arrangement arise that would contribute to their education.

For how long may I suspend my registration?

You may suspend your registration for up to two semesters at a time and for a maximum total of four semesters or two years during your period of study.

For how long may I be considered officialy excused because of sporting activities?

I am an evening education student. Do I have to pay tuition if I wish to suspend my registration?

If your request to suspend registration is approved by the relevant administrative board, you do not need to pay tuition for that period.

Is there a difference between suspending registration and simply not registering?

Periods during which your registration is officialy suspended do not count toward your period of education.

What must I do to cancel my registration?

You must complete the Student Clearance Form, have it approved by the offices specified on the form, and submit it to the Department of Student Affairs. Your student status ends when your registration is cancelled.

Course Exemption

What must I do to be exempted from courses I have previously completed successfully?

Students enrolling for the first time in a faculty, school, or vocational school may apply to the relevant academic unit within three weeks from the start of education by submitting a petition listing the courses for which exemption is requested, together with an approved transcript and approved course descriptions from the higher education institution previously attended.

I submitted an exemption petition to the Dean’s Office or Directorate for courses I previously took. Should I register for and attend the course until my exemption application is finalized?

After the Academic Unit Administrative Board approves the exemption request and the exempted courses are entered into the system, you will register for the courses you are required to take together with your academic advisor. If the exemption decision is finalized after the add/drp period specified in the Academic Calendar, Student Affairs staff will complete the course registration. However, to avoid any disadvantage during this period, it is important that you continue attending the semester courses.

I enrolled at your University through vertical or horizontal transfer. How can I learn which courses I am exempt from and which courses I must take?

For every student who enrolls in a program at our University and applies for exemption, the exemption and course adjustment commission of the relevant academic unit prepares an exemption schedule. This schedule is formaly communicated to the student together with the administrative board decision.

I became eligible to enroll at your University through vertical transfer, horizontal transfer, or the Central Placement Examination. From which year may I continue my studies?

Students admitted through horizontal transfer are placed in the semester for which they applied; students admitted through vertical transfer are placed in the fifth semester; and students admitted through central placement examinations are placed in the first semester.

Students must notify the relevant Dean’s Office or Directorate of their excuse by petition within one week after the excuse ends. Students who do not apply within this period are considered to have waived this right.

What percentages do the midterm and final examinations contribute to the overal grade?

In academic units whr the course-based passing system is applied, the course achievement grade is the sum of @ of the in-semester assessment grade and ` of the grade received in the final or make-up examination.

May I take the make-up examination for a course I failed because of absence?

A student who fails a course because of absence cannot take the final or make-up examination for that course.

What is the minimum semester or year-end achievement grade I must obtain?

To be considered successful in a course, the semester-end, year-end, or make-up examination grade must be at least 50, and the overal achievement grade must also be at least 50.

May I retake a course that I previously passed in order to improve my grade?

No. However, a student who receives a DC or DD letter grade in a course is considered to have passed the course conditionaly. For conditional passing grades to be accepted as successful at graduation, the student’s cumulative grade point average must be at least 2.00. In this case, the student may retake the relevant courses to improve the grade.

What is a single-course examination, and when must I apply for it?

If you have taken al courses defined in your curriculum but have only one course remaining for graduation, and you previously fulfilled the attendance requirement for that course, you may take the single-course examination. You must apply to your academic unit by petition within one week following the make-up examinations. If your application is approved, you must take the single-course examination to be held by the academic unit within ten days.

Diploma Supplement

What is a Diploma Supplement?

The Diploma Supplement, or DS, is a document issued in addition to a higher education diploma to support the academic and professional recognition of qualifications such as diplomas, degrees, and certificates. It aims to improve international transparency by describing the knowledge, skills, and competencies acquired.

Why is the Diploma Supplement issued?

It is issued to describe the structure, level, context, content, and status of the education successfully completed by the holder.

How is the Diploma Supplement recognized in Europe?

It is prepared by national institutions according to a model jointly developed by the European Commission, the Council of Europe, and UNESCO. The model was tested and refined by a joint working grp organized by these three institutions and is available in al official languages of the European Union.

What information does the Diploma Supplement contain?

It contains information on the identity of the person entitled to the supplement, the qualification obtained, the level of the qualification, the content and outcomes of the qualification, the function of the qualification, additional information, and the national higher education system.

May I use the Diploma Supplement instead of a transcript?

The Diploma Supplement does not replace a transcript or a diploma.

What benefits can I obtain from the Diploma Supplement?

The Diploma Supplement provides a diploma that is easier to understand and compare abroad, a complete description of your academic pathway and the knowledge and skills acquired domesticaly and internationaly, an objective and fair assessment of your achievements and competencies, easier access to future employment and education opportunities abroad, and improved employment prospects.

Why is the Diploma Supplement necessary?

New forms of diplomas and certification are being developed worldwide, and countries continualy revise their methods of assessing student achievement and their education systems in response to rapidly changing economic, political, and technological developments. The growing number of mobile citizens expect their qualifications and competencies to be assessed fairly. Failure to recognize qualifications, or their incorrect or incomplete assessment, has become a global problem. Because original diplomas and other documents do not by themselves provide sufficient explanatory information, establishing the level and function of a diploma without a detailed supplementary explanation has become extremely difficult.

ECTS Credit System

What is the ECTS Credit System?

An ECTS credit is a numerical value, generaly expressed within an annual total of 60 credits, that indicates the student workload required to complete course units. It represents the workload required by each course within an institution’s annual academic program. This workload includes activities such as practical work, seminars, fieldwork, individual study, and examinations undertaken during an academic year.

Is our University required to implement the ECTS system?

Yes. All higher education institutions operating in Türkiye are required to implement the ECTS system.

How is the ECTS credit value of a course calculated?

As the definition indicates, the ECTS value of a course is determined by calculating the workload required for that course. For example, consider a two-credit course taught for two hours per week over fourteen weeks. Twenty-eight hours of class attendance, one hour for the midterm examination, one hour for the final examination, six hours of examination preparation, and fourteen hours of coursework and assignments create a total student workload of fifty hours. A workload of fifty hours corresponds to two ECTS credits.

Why are the courses we may take in one semester limited by ECTS credits?

The reason courses are generaly limited to 30 ECTS per semester is the workload they impose on the student. Considering that one ECTS credit represents twenty-five hours of work, a student taking 30 ECTS in one semester has a workload of 30 × 25 = 750 hours. This requires approximately eight hours of work per day. As this example shows, the limit is based on the number of hours a student can reasonably devote to academic work each day.

How many ECTS credits must I complete to graduate from the University?

Excluding the courses specified under Article 5(i), students must complete 240 ECTS credits in four-year programs, 300 ECTS credits in five-year programs, 360 ECTS credits in six-year programs, and 120 ECTS credits in vocational school programs.
